The Finance community faces rigorous compliance demands compounded by senior management obligations for continuity planning. It&#146;s a highly integrated industry and the pressures mean that firms must increasingly demonstrate easy, efficient and effective business solutions. Take, for example, document transmission and storage; a mundane but essential source of key client and transactional data which needs to be carefully managed. For too many firms this is a Cinderella issue and the potential risk is high, not just to cost, but also to reputation.<br>
<br>
The obvious solution is to leverage document management systems (DMS) to remove the reliance on paper, streamline processes and transform the timeliness of information access. But as many companies have discovered, the road to DMS can be strewn with pitfalls that can quickly derail a project.<br>
<br>
In an industry with multiple regulations, demands for compliance and governance cannot be brushed aside. Where compliance or governance fails, then good document management records could potentially eliminate or reduce the risk of heavy financial repercussions, by providing an auditable trail of paper work.<br>
<br>
And yet many firms&#146; compliance is fundamentally undermined by their reliance on out-dated methods and their quaint paper storage. This all comes down to a reliance on poor manual, paper-based processes that slow down document retrieval and procurement.<br>
<br>
Less Haste, More Speed<br>
<br>
How can firms possibly guarantee regulatory and legal compliance without a clear auditable trail? Good document management relies on the regular review of records, with the controlled retention and destruction of information. The obvious answer is to adopt a DMS to automate processes, eliminate paper, and achieve control over the document trail and hence financial procedures.<br>
<br>
But simply deciding to implement a DMS to become more efficient is not enough; this is a product set that can be deployed in many ways to meet numerous diverse regulatory and corporate requirements. Fully functional, wide-reaching solutions can take several years to deploy &#150; during which time business needs have changed, and opportunities have been missed.<br>
<br>
The emphasis right now is to get rid of the paper-based processes that are compromising business value and compliance. Don&#146;t get distracted by additional features, however appealing, simply because they are available. This whole process should take around one month &#150; and certainly no more than three.<br>
<br>
Peripheral View<br>
<br>
Whilst imperative to clearly define the specific requirements, the exact implications of the objective must also be clearly understood &#150; does it require lengthy integration with other systems, for example? The key is to define statements of work (SOW), undertake pre-implementation review sessions and work closely with a supplier. Use proof of concept trials, followed by staged implementations to create manageable projects that deliver incremental business value.<br>
<br>
It is also essential to avoid over-elaboration, a classic error with any functionally-rich technology. For example, DMS utilise configurable structures and metadata &#150; most also enable content searching. Defining a complex taxonomy may appear the best route towards a flexible and future proof solution, but, as organisations have discovered, in areas where the filing is not automated, the overhead of working to the structure and metadata requirements resulted in slow operational processing, end user frustration and a reduction in Return on Investment (ROI). A simple taxonomy, with limited mandatory metadata, is actually a far more sustainable and usable model.<br>

Stockbroker Redmayne-Bentley is using a new document management system from supplier Invu to slash paper usage and help meet FSA regulations.<br>

Redmayne-Bentley said the improvements to data storage processes will also improve access to customer files, and remove the necessity for paper-based filing, thereby reducing the on-site storage space needed. Redmayne-Bentley was established in 1875 and has over thirty branches across the UK and Ireland, with its head office in Leeds.<br>

The new Invu document management software will be deployed across 300 investment managers, brokers and support staff, with 200 licences being implemented by this summer.<br>
<br>
The requirement for a document management system became apparent when Redmayne-Bentley moved its Leeds head office to new premises. In the course of the relocation, it became clear that there was an over-reliance on the physical storage of paper, which resulted in a largely manual administrative process.<br>

Craig Arnold, senior developer at Redmayne-Bentley, said, &#147;Initially we wanted a system that would enable us to remove our dependence on paper-based filing - even the most efficient manual systems can be improved with electronic document flow, particularly across a geographically dispersed organisation.&#148;<br>

Arnold said other key benefits to the electronic document management platform were integrated enterprise systems to improve search and retrieval and enhanced workflow and FSA reporting.<br>
<br>
Inefficient document management means western European businesses are effectively losing billions of pounds of potential profits because of wasted time, according to a report.<br>
<br>
Research conducted by Coleman Parkes shows that employees across Europe responsible for managing business critical document processes spend around 362 million hours of their time per year on the function. <description><![CDATA[ Looking back in the results to 2007, they seem to sell much more in H1 than H2, so perhaps not a surprise they only sold &pound;1.2m in H2 for a total &pound;2.5m.<br>

More interesting is the split of service to software revenues - and the gross margins of each. Service revenues seem to have been 1.6 - 1.8m since 2007, with a dip to 1.5m in 2011 (possibly lower following the poor sales year in 2010?) But margins are less than 70% on the services.<br>
<br>
Software sales gross margins seem to be 90%+ and had the following pattern:<br>

07 - 4.8<br>
08 - 7.0 (albeit most turned out to turn into bad debts)<br>
09  - 1.8<br>
10 - 0.4<br>
11 - 1.0<br>
<br>
Admin costs c. &pound;2.3m in 2011<br>

Seems to me the big opportunity here is increased software sales, and to take advantage of the operational leverage, assuming increases in admin costs can be kept reasonable. With much reduced debt now, assuming its voted through, any decent sales increases will dramatically increase profitability.<br>

e.g. in 2 years could we see :<br>

If you are more bullish on sales or multiple its not difficult to see larger upside.<br>

Of course, as of today they are probably still cashflow negative and loss making, but there seems to be some good upside here.<br>

The latest director buy and continued backing by the family in the debt conversion (at 1p) maybe gives some hope, but on the downside the track record of this company is not stellar to say the least. Any longer term holders care to comment more on the new management turnaround ??<br>

Invu, the leading provider of document management software, has been chosen by The Welbeck Estates Company Limited, owner of the 15,000 acre Welbeck Estate in Nottinghamshire and Derbyshire, to supply its Document Management System.<br>
<br>
The new software was selected primarily to improve efficiency by automating the accounts payable process. The Invu system has shortened purchase-to-pay times by around 50% and resulted in a significant reduction in physical storage requirements.<br>
<br>
In addition to almost halving the invoice processing time, Welbeck Estates has also simplified its document search and retrieval process &#150; cutting document discovery times from approximately 10 minutes to a matter of seconds.<br>
<br>
Implementing Invu at Welbeck has also resulted in a more robust process for invoice authorisation and it is no longer possible for paper documents to be processed without proper authorisation. Invu's automated workflow means that every document has to conform to the procedure contained within the workflow.<br>
<br>
Welbeck is an historic estate in rural Nottinghamshire and Derbyshire. Its business has always been land-based, mostly farming but with substantial coal mining on its land prior to the industry's nationalisation in 1948. The compensation for loss of revenue received at that time was invested in a commercial property portfolio, ultimately managed and financially reported by the Welbeck Estates Company Limited. The Company owns and operates further rural estates in Northumberland and Caithness.<br>

The Welbeck Project represents the vision of recreating a sustainable community within the historic Welbeck Estate. Built on the four pillars of rural development, creative industry, education and the arts, it has seen Welbeck play host to an increasing number of enterprises and businesses including the Welbeck Farm Shop, Welbeck Abbey Brewery, the Harley Gallery and Studios, the School of Artisan Food, and Stichelton Dairy. A number of new businesses have occupied new offices in the historic buildings at the heart of Welbeck Village.<br>

Processing up to 100,000 invoicing documents a year through a manual process, Welbeck's accounting system was largely paper-based and documents were physically stored across multiple locations. Because of the inherent difficulty of tracking the progress of individual invoices and the risk of misplacing documents, the manual process was replaced with Invu's Document Management software.<br>

Ian Goodwin, Finance Director at Welbeck Estates comments, &quot;Initially we wanted a solution which could automate all of our accounting processes. Locating and retrieving documents was taking up to ten minutes per document and the storage and sheer volume of paper documents which we were handling was becoming an issue due to the costs and logistics of housing them. We were therefore looking for a solution which offered visibility across the entire accounting department, while allowing documents to be accessed quickly and easily. Through using the Invu software, files which had previously taken up to ten minutes to find can now be retrieved in a maximum two minutes, but usually a matter of seconds.&quot;<br>
